Overview

The Sorenson Center for Clinical Excellence (SCCE) is seeking a part-time Client Care Representative to serve primarily within the Behavioral Health Clinic as well as assist with broad clinic operational needs across all SCCE service lines. The part-time Client Care Representative is responsible for a variety of activities related to service line operations that are primarily client-facing. The individual will serve as a liaison between clients and the care team, assist with continued care, provide support to the primary Client Care Representatives, and complete Center-wide operational tasks. This can be a fast-paced job that requires multitasking. This position reports to the Center Operations Manager.

 

Hours: 20 hours per week between 8:00 a.m. and 8:30 p.m. Monday through Friday

Schedule will be determined with successful applicants during the hiring process and may be subject to change. Priority will be given to applicants who are available on Monday and Tuesday evenings (i.e., 4:30 p.m. to 8:30 p.m.) and to those who can adjust their schedule based on SCCE needs.

Responsibilities

Client Care

  • Communicate with diverse client population about healthcare services, appointments, insurance, clinic paperwork, session payments, and other logistical items related to care
  • Function as liaison between providers and clients to quickly address client concerns
  • Communicate with external medical facilities and providers
  • Collect basic demographic and referral information to screen clients for program eligibility alongside clinic directors
  • Maintain electronic medical records
  • Maintain HIPAA training and standards, including maintaining confidentiality of client information
  • Coordinate interdisciplinary care and referrals within Sorenson Center service lines
  • Perform miscellaneous job-related duties as assigned

Clinical Operations

  • Collect payments and reconcile receipts daily
  • Schedule rooms in the on-line scheduling system
  • Answer clinic phone calls, emails, and secure messages and resolve or triage as necessary
  • Perform filing, scanning, and organization of clinic supplies and materials
  • Compose various standard documents, correspondence, and reports
  • Assist students, staff, and supervisors with highly varied, complex, and non-recurring questions and/or problems
  • Maintain safe and clean clinical areas
  • Perform miscellaneous job-related duties as assigned

Qualifications

Minimum Qualifications:

  • High school diploma or equivalent
  • Experience in a customer service setting

Preferred Qualifications:

  • Experience in customer relations in an outpatient medical / healthcare setting
  • Experience with electronic medical records systems

Knowledge, Skills, and Abilities:

  • Ability to foster effective working relationships within a team environment
  • Skilled with computer programs, including electronic medical record systems
  • Excellent critical thinking skills
  • Skilled in creative problem solving and proactive in engaging in assigned tasks
  • Skilled with basic office equipment, including printers, copiers, and telephone systems
  • Good organizational skills and ability to prioritize tasks flexibly, consistent with the needs of the clinic
  • Excellent verbal and written communication skills
  • Ability to handle sensitive and confidential medical data and personal information
  • Ability to work efficiently and effectively without supervision
  • Knowledge of University policies and procedures
  • Excellent customer service skills
