Overview

Reporting directly to the Director of Marketing & Communication Strategy, this role is responsible for overseeing and conducting process, coordination, and overall project management for the College of Arts & Sciences (ArtSci) marcom team. The ideal candidate for this role is extremely process-oriented, strategic, and thinks critically with a keen attention for detail.

Responsibilities

40% Process Creation & Management

  • Create process, project templates, and other procedures and systems for the array of projects, support opportunities, and services conducted by the ArtSci marcom team.
  • Proactively assess productivity, results, and workflow within the marcom team’s systems for continual improvement and adapting to evolving situations.
  • Assess the workflow of internal CRM operations, automations, and other data configurations to meld into project and support processes.
  • Consider the process and use of software and procedures across the team for continual improvement and implementation of elevated practices to improve efficiency.
  • Oversee and maintain the project tracking system (currently Asana) and its use across the ArtSci marcom team for all projects and applications.
  • Maintain the user access and overall management of the project tracking system.

25% Project Coordination & Supervision

  • With the marcom team, help oversee all organized projects.
  • Maintain the project tracking system.
  • Coordinate tasks and follow up with assignments in marcom projects.
  • Directly oversee process-oriented projects with non-academic partners, shared with the Marcom Business Partner.
  • Oversee a team of marketing interns in regard to process execution to complete tasks and their internship program.

25% Communication Support

  • Support all communications functions, including, but not limited to, writing and editing press releases, writing and editing emails, proofing all regular communication efforts (i.e. the weekly email), communication/awareness plan and strategy development, etc.
  • Record data and create reports for communication efforts, including press release results, email results, social media results, etc. by overseeing these efforts, creating them, or coordinating with the Director and the executor.

10% Overall Marcom Support

  • Assess and organize online systems, file storage procedure, and other supporting structures for the ArtSci marcom team.
  • Train ArtSci marcom interns on current systems and processes.
  • Support other general marcom efforts as assigned.

Qualifications

Minimum Qualifications

  • Bachelor’s Degree in Project Management, a related field, or equivalent experience.
  • Demonstrated ability managing projects, including budget awareness, execution, and coordination.
  • Experience working with students and/or student workers.
  • Experience coordinating with a marketing and/or communications department for collaborative project initiatives.
  • Demonstrated ability to problem solve and discover new ways to enhance a program, project, or event management.
  • Experience working with stakeholders on a project while executing.
  • Extensive experience with a project tracking system and its basic functionality.
  • Demonstrated experience working with faculty.
  • Ability to write clearly, create emails, and oversee/edit written communications.
  • Basic understanding of social media and its impact on the intended audience.
  • Ability to find and correct errors in written communications and public information.
  • Understanding of AP style.
  • Thorough knowledge of working with Microsoft Word, Excel, and other Microsoft programs.
  • Demonstrated ability to coordinate with partners or associates to execute or align on project tasks.

  • Experience with project management in a higher education setting.
  • Familiarity working with higher education staff and faculty.
