Overview

The Civil Rights and Title IX Office is seeking applications for an Administrative Assistant. This position provides staff support to the Civil Rights and Title IX Office's discrimination and sexual misconduct investigation and prevention efforts to help build and sustain a safe and equitable campus for students and employees. This role will report to the Civil Rights and Title IX Office Executive Director and will be based at the main campus in Logan, Utah.

Responsibilities

  • Provides administrative support to the Executive Director, Title IX Coordinator, and other office personnel, including coordinating meetings, conferences, events, and scheduling appointments.
  • Arranges travel reimbursements for staff and visitors as needed.
  • Performs office duties, including answering phones, directing calls to appropriate parties, data entry, filing, calendar management, and other general office duties as assigned.
  • Occupies the front desk during business hours and greets and assists office patrons.
  • Screens inquiries and requests; uses judgment and tact to prioritize schedules, calendars, and meetings.
  • Shares materials and resources with search committees.
  • Provides staffing support to committees led by the Civil Rights and Title IX Office.
  • Supports the planning and execution of special events.
  • Handles purchasing and reconciliation of office supplies and necessities.
  • Serves as a liaison with other departments and constituencies in the resolution of matters concerning the activities and operations of the department.
  • Composes and word-processes various standard documents, correspondence, and reports.
  • Works collaboratively with Business Services on budget matters, including accounts payable, and personnel hires and departures.
  • Coordinates and prepares onboarding plans for all Civil Rights and Title IX Office staff.
  • Oversees/conducts annual key and equipment inventory.
  • Understands and communicates departmental policies, procedures, rules, and regulations to campus and community partners and office patrons, as relevant.
  • Assists with the hiring, training, and supervision of other office personnel.
  • Performs other miscellaneous duties as assigned.

Qualifications

Minimum Qualifications:

  • Six years of experience; or vocational/technical training/associate degree in an office or business field, plus four years of related experience; or a bachelor’s degree in a related field plus two years of experience.

Preferred Qualifications:

  • Familiarity with USU databases, processes, and procedures.
  • Experience with and understanding of legal matters and affairs.

Knowledge, Skills, and Abilities:

  • Skilled with computer programs, including spreadsheets, relational databases, statistical packages, presentation software, and graphic packages.
  • Excellent critical thinking skills.
  • Skilled in creative problem solving.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Good organizational skills.
  • Strong verbal and written communication skills.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to work without supervision.
  • Knowledge of University policies and procedures.
  • Excellent customer service skills.
