Overview

The Emma Eccles Jones College of Education and Human Services is seeking a Business Assistant III to join a dynamic business services team supporting the School of Teacher Education and Leadership. We offer opportunities for growth, career development, and a positive work team.

Responsibilities

Accounts Payable/Receivable

  • Through pcard or USU EZ Buy purchases all department supplies, computer equipment and software for department, faculty, staff and students
  • Gift card custodian

Graduate Assistantship (GA) Funding

  • Facilitates GA assignments by corresponding with business manager, department head, graduate program director, graduate program coordinator (GPC), and faculty
  • Coordinates GA tuition, travel awards, and research awards

Employment Support

  • Coordinates course instructor payments
  • Coordinates hiring agreements

Other Financial Support

  • Oversees course fee and differential indexes
  • Other duties as assigned

Qualifications

Minimum Qualifications

  • Six years of directly related financial work experience with increasing responsibilities or bachelor’s degree in a business field plus two years of experience or an equivalent combination of education plus experience is required.

Preferred Qualifications

  • Experience in contract/grants/research administration.
  • Experience in USU’s EZ Buy system.
  • Working knowledge of USU payroll/HR policies and procedures.
  • Experience in ServiceNow Pcard system as receipt attacher or cardholder.
  • Experience working in an academic department.
  • Working knowledge of USU’s purchasing and operational policies.
  • Keyboarding and ten-key skills to support accurate and timely data entry.

Knowledge, Skills, and Abilities

  • Knowledge of purchasing and accounts payable procedures, including those that relate to a public institution.
  • Knowledge of accounts reconciliation and ability to reconcile indexes.
  • Skilled with computer programs, including Excel and Windows. Able to independently develop Excel formulas and develop professional documents with appropriate grammar and punctuation.
  • Skilled with basic office equipment, including printers, copiers, fax/scanners and telephone systems.
  • Good organizational skills and experienced in managing multiple responsibilities and deadlines.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to take initiative, maintain confidentiality and work without close supervision.
  • Excellent customer service.
