Overview

The Staff Assistant III position will perform a variety of administrative support for the Heravi Peace Institute (HPI) under the deans office in the College of Arts and Sciences. The Staff Assistant III provides the primary administrative and program support to HPI Director, Program Coordinator, hourly employees, and students. This position will assist in daily operations, event coordination, and communications, ensuring the smooth execution of HPI’s programs and initiatives, including curriculum and grant activities.

Responsibilities

HPI Offices General Support: 50%

  • Performs office duties, including answering phones, directing calls to appropriate parties in the institute, data entry, filing, and other general duties.
  • Provides administrative support, including scheduling appointments, coordinating meetings, and handle general Peace institute Correspondence
  • Maintaining/ordering office supplies, marketing and promotional material.
  • Assists the Director and Program Coordinator with planning and travel logistics for HPI employees, as well as guest speakers to USU campus.
  • Processes receipts for routine expenses associated with daily operations at the HPI.
  • Performs other administrative support and job-related duties as assigned.
  • May work with Director and Program Coordinator on financial and business-related matters such as purchases, vendor onboarding, honorariums, etc.

Outreach/Marketing Support: 50%

  • Assists the Director and Program Coordinator with outreach and marketing plans, public outreach and events, and social media presence.
  • Assists the Director and Program Coordinator with creating and editing promotional content (flyers, Email and print newsletter, and website updates) and working with the College of Arts and
  • Sciences Marketing and Communication (Marcom) team approval.
  • Serves as a liaison with other departments and constituencies in the matters concerning HPI operations and events.
  • Works independently to provide high-level administrative support to an active and expanding program.
  • Perform miscellaneous job-related duties as assigned.

Qualifications

Qualifications:  

  • Four years of experience; or an associate degree/technical training plus two years of experience; or a bachelor’s degree is required.

Preferred Qualifications:

  • Proficiency in Microsoft Office Suite (Word, Excel), Canva, and managing professional social media platforms.
  • In-depth understanding and/or experience with the administrative and daily logistics of the Heravi
  • Peace Institute, Utah State University, and/or public universities in general is a plus.
  • Experience using logistitcal platforms such as Coursedog, Argos, Qualtrics, Banner and
  • ServiceNow is preferred.
