Overview

USU Extension in Iron County is seeking a creative and positive person to support programming efforts and general operations. The hours of employment will be Monday-Friday 8am to 5pm in the USU Extension Office in Cedar City. This is a full-time benefited position. Applicants should be able to work well independently and as part of an amazing team. Occasional evening and weekend work will be necessary.

Responsibilities

  • Performs office duties, including answering phones, directing calls to appropriate parties, data entry, filing, appointment scheduling, and other general duties as assigned.
  • Provides administrative support, including scheduling appointments, coordinating meetings/conferences, ordering, and organizing office materials/supplies.
  • Works closely with faculty and staff members on programs throughout the year.
  • Greets and directs visitors in a friendly, professional manner with the objective of meeting needs.
  • Sorts, screens, and distributes incoming and outgoing mail/newsletters or other correspondence.
  • Compose and word-processes various standard documents, messages, and reports.
  • Works with other staff assistant to ensure website and social media content is reviewed and updated regularly.
  • Provides identified program support to assigned faculty and/or staff.
  • Supports faculty with programming, logging, and organizing data, reviewing, and organizing papers/outlines for programs, advisory groups and county/USU administrative reports.
  • Arranges maintenance of office equipment and fleet vehicles.
  • Performs miscellaneous job-related duties as assigned.
  • Skilled with technology and related software usage.
  • Effectively meet and implement University and county policies and procedures and fiscal accountability requirements.

Qualifications

Minimum Qualifications

  • Two years of experience in an office setting or an associate degree/vocational training with related experience required.
  • Must have a working knowledge of and skill to work with Microsoft Office Suite programs, especially Excel, and ability to navigate online survey design software.
  • Must have ability to greet and serve the public and exemplify strong customer service skills.
  • Confident operating basic office equipment- printers, copiers, scanners, telephone systems.
  • Ability to multi-task and effectively manage office, customers, faculty, and staff inquiries and requests for assistance.
  • Strong verbal and written communication skills.
  • Ability to handle sensitive and confidential business data and personal information.
  • Capacity to work with minimum supervision.

Preferred Qualifications

  • Graphics design (e.g. Canva) for flyers and social media outlets
  • Basic understanding of spoken/written Spanish language
  • A good understanding of Extension efforts in Horticulture and Agriculture/Natural Resources.
  • Appreciation of USU Extension and its mission within major program areas (i.e. Agriculture/Natural Resources, Horticulture/Water Wise Landscaping, Family and Consumer Sciences, and 4-H Youth Development).

The environment and physical requirements may change depending on the specific function of the work each department performs. Incumbents may be in both indoor and outdoor environments. Indoors, in an office space, event space, or public space are protected from weather conditions, but not necessarily from temperature changes. Incumbents may nearly continuously sit and often use repetitive hand motion (such as typing).

Outdoors, incumbents may not be protected from weather conditions and may be exposed to extreme heat and extreme cold. Additionally, indoor or outdoor work environments may include being confined or in narrow spaces for periods of time. The incumbent may also be exposed to loud noises or vibrations from equipment, and conditions that may affect the respiratory system, such as fumes, odors, dusts, mists, gases, and poor ventilation. Bending, crawling, and crouching may be required. Incumbents may be required to lift, push, and/or pull objects up to 50 pounds and be required to walk and/or stand for long periods of time.
