Overview

The Department of Communication and Media is seeking a professional, detail-oriented and experienced staff assistant to join our distinctive department and provide key support for the department head, faculty, and students. This is a full-time, in-person position, Monday-Friday 8am-5pm. The Staff Assistant III serves as administrative support to the Department Head and serves as the Graduate Program Coordinator. The Staff Assistant may train and supervise student employees. This position reports to the Department Head in Communication and Media. 

Responsibilities

Responsibilities Related to Assisting Department Head (60%): 

  • Provide project support (departmental reviews, promotion and tenure, annual faculty review, departmental nomination packets, and annual donor report) 
  • Maintain department web pages. 
  • Assist in departmental initiatives, projects, and events 
  • Manage prospective student referral follow-up and tracking 
  • Provide general office support such as preparing or copying documents, placing phone calls, running errands, arranging meetings, etc. 
  • Support scheduling and document preparation for annual faculty reviews conducted by the Department Head 
  • Schedule group meetings with scheduling polls, arrange for IVC communications, and facilitate meeting documentation and content 
  • Provide administrative support for the department’s scholarships 
  • Coordinate with faculty and the department head to develop the department’s course schedule 

Responsibilities Related to Graduate Programs Coordinator (40%): 

  • Serve as the Communication and Media Graduate Programs Coordinator and liaison to the School of Graduate Studies leadership 
  • Manage prospective student referral follow-up and tracking 
  • Respond to inquiries from prospective graduate students and process applications for Graduate Programs Committee and faculty review 
  • Track student progress and maintain applicants 
  • Provide Graduate Program Director with regular and accurate information on graduate student progress, delinquencies, accomplishments, and issues 
  • Provide necessary forms and instructions to graduate students and advisors 
  • Work with Graduate Program Director and Business Services in submission of graduate student tuition awards, scholarships and stipends 

Qualifications

Minimum Qualifications: 

  • A Bachelor’s degree of any type earned from an accredited University OR an equivalent combination of education and experience. 
  • A working knowledge of office computing software including, but not limited to the use of Microsoft Office products (Excel, Word, Outlook), Windows and Box. 

Preferred Qualifications: 

  • Experience in a service role involving interactions with staff and the public. 
  • Knowledge of or ability to learn and follow university policies and procedures. 
  • Knowledge of University-specific systems such as Banner, MyTime, etc. 
  • Skilled with basic office equipment, including printers, copiers, and telephone systems. 

Knowledge, Skills, and Abilities: 

  • Skilled with computer programs and related software. 
  • Excellent critical thinking skills. 
  • Skilled in creative problem solving. 
  • Good organizational skills. 
  • Strong verbal and written communication skills, including basic document design such as flyers. 
  • Ability to handle sensitive and confidential business data and personal information. 
  • Ability to work without supervision. 
  • Knowledge of or ability to quickly learn university policies and procedures. 
  • Excellent customer service skills.
