Overview

The S.J. & Jessie E. Quinney College of Agriculture and Natural Resources (QANR) at Utah State University seeks a highly organized, proactive, and detail-oriented part-time hourly Office Assistant to support administrative and student services in the Dean’s Office. This position will assist with travel and procurement processing, front office reception, ordering supplies, scheduling meetings and administrative support. The successful candidate will be a collaborative team member with the ability to manage multiple tasks, and a professional demeanor as a key point of contact for the QANR faculty, staff, students, and external stakeholders.

 


The Office Assistant plays a vital role in shaping the day-to-day efficiency and public-facing presence of the Dean’s Office and is expected to demonstrate initiative, teamwork, and attention to detail in all responsibilities.

Responsibilities

  • Provide administrative support to the Dean’s Assistant, Associate Director of the Utah Agriculture Experiment Station, and Associate Deans.
  • Serve as a primary point of contact for the Administrative Team by welcoming guests, answering phone calls, directing inquiries, and coordinating overall front desk operations.
  • Assisting with front desk support for the Student Services team by greeting and assisting students, completing appointment check-ins, and supporting occasional event preparation. 
  • Coordinate travel arrangements and process travel authorizations and reimbursements in ServiceNow, ensuring compliance with university policies.
  • Manage procurement activities including submitting and tracking purchase requisitions, standing purchase orders, and vendor payments through EZ-Buy and PaymentWorks.
  • Maintain accurate financial records, oversee P-card documentation, and assist with year-end fiscal procedures.
  • Monitor usage of the Dean’s vehicle and ensure adherence to university guidelines.
  • Oversee operations of the mailroom and supply room, including inventory management, mail sorting, and maintenance of office equipment such as copiers.

Qualifications

Minimum Qualifications:

  • High School diploma/GED or aptitude is required
  • Proficiency in Microsoft Office and ability to learn university systems (e.g., Banner, EZ-Buy, ServiceNow)

Preferred Qualifications:

  • Experience in higher education or public institution settings
  • Familiarity with USU policies, systems, and event planning processes

Knowledge, Skills, and Abilities:

  • Strong written and verbal communication skills
  • Ability to maintain confidentiality and professionalism in a fast-paced environment
