Overview

Business Assistants in the Statewide Enterprise Business Services team support enterprise-level business functions across multiple statewide campuses and program units. Incumbents perform transactional and coordination work related to purchasing, travel, personnel actions, scholarship processes, financial reviews, and other tasks as assigned. They help ensure consistency with Statewide Business Services standards, University policy, and internal controls.

Responsibilities

  • Processes purchasing transactions and P-card submissions in accordance with University and Enterprise-level standards.
  • Reviews, reconciles, and tracks financial activity in support of monthly financial reviews in Argos (Monthly Review Dashboard) and Box workflows.
  • Assists with basic preparation of documentation for EPAPs, HR actions, scholarship changes, ServiceNow tickets, and other personnel-related transactions.
  • Maintains spreadsheets, tracking logs, Box folder structures, and other recordkeeping systems used by Business Services.
  • Performs routine account lookups, gathers backup, and confirms documentation for compliance requirements.
  • Schedules or coordinates meetings and captures action-item notes as needed.
  • Prepares travel arrangements and processes travel documentation according to policy.
  • Prepares basic correspondence, agreements, and other business documents.
  • Assists with fiscal year planning by collecting and organizing financial data.
  • Monitors assigned project tasks to verify status, completeness, and next steps.
  • Performs other enterprise-level transactional duties as assigned.

Qualifications

Knowledge, Skills, & Abilities:

  • Working knowledge of accounts payable, purchasing, and transaction workflows in a public institution.
  • Ability to review and reconcile accounts and financial records.
  • Skilled using spreadsheet tools, tracking logs, and standard office software.
  • Ability to learn and follow Business Services procedures for monthly reviews, change approvals, and documentation routing.
    • Strong organizational skills and attention to detail.
    • Ability to handle confidential information with discretion.
    • Ability to work independently and within distributed/remote teams.
    • Excellent customer service and communication skills.

Minimum Qualifications:

  • Two years of related work experience; or an associate degree/technical training in a related field.

Preferred Qualifications:

  • Prior experience working in or with Utah State University Extension / Extension programs, activities, or financial structures.

Work Environment

This position primarily works in a standard office environment.
Business Assistants may work in Logan or in a remote Statewide Campus location, and collaboration occurs routinely through Teams/Zoom, email, Box, and other digital tools. Work may include occasional visits to campus locations for meetings, trainings, or events. Work involves frequent interaction with coworkers, faculty, students, and campus stakeholders.

Physical Demands

This role requires the ability to sit or stand at a workstation for extended periods; operate standard office equipment (computer, keyboard, mouse, telephone, copier/scanner); and occasionally lift or carry office materials typically under 20 pounds. Mental Demands

This role requires the ability to manage multiple tasks and deadlines, adapt to shifting priorities, and apply sound judgment in transactional decision-making. Attention to detail, accuracy, confidentiality, and adherence to University policy and Enterprise-level procedures are essential. Work involves periods of sustained concentration, data review, and problem solving.
